erp.ioHire mechanics before the spring rush
ATS is the erp.io applicant tracking module. One place for every mechanic, service writer and seasonal hire you are talking to, from the first call to the signed offer.
The hire you needed in February
Every shop owner knows the calendar. The first warm weekend in spring, the bench goes from quiet to three weeks out. The mechanic you should have hired in February is the one you are now trying to find in April, when every other shop in town is looking too. By the time they have learned your process, it is June.
Hiring early means running a small hiring process in the quiet months, alongside everything else. That usually means applications in one inbox, notes on scraps of paper, and a vague memory of which candidate was good on the phone. ATS keeps it in one place. Each role has a pipeline, each candidate has a record, and you can see at a glance who is waiting on you.
ATS is part of erp.io, in the same workspace as Service. Candidates are stored as people in the erp.io CRM, so someone who applied last season and a rider who became a candidate are the same record, not two.
What ATS does today
These are features of the live ATS module.
Job records
Title, department, location, a remote flag, a salary range and a description. A job moves through Draft, Published, Paused and Closed.
A pipeline per job
Each new job starts with Applied, Phone Screen, Interview and Offer, and each candidate sits in one stage at a time.
Candidates from the CRM
Search the CRM for a person and add them to a job, with the source they came from and a cover letter if there is one.
Interviews
Schedule a phone screen, video call, onsite, panel or technical interview with a time, length and interviewers.
Scorecards
Rate each interview from strong yes to strong no with notes, so two people interviewing the same mechanic can compare what they saw.
Offers
Record the pay and start date, then track the offer from draft to sent to accepted, declined or rescinded.
Activity history
Every stage change and status change is logged on the application, so you know when someone was last contacted.
Hiring reports
Jobs, applications, hires, interviews, rejections and scorecard completion, plus active candidates by stage and by source.
A technical interview is a bench test
A mechanic's resume tells you where they worked. It does not tell you whether they can true a wheel, bleed a set of hydraulic brakes without contaminating the pads, or set up a Di2 derailleur without guessing. The only way to know is to put them on a stand. ATS has a technical interview type for exactly this: schedule it, name who is running it, and record the result on a scorecard.
Write down what a good bench test looks like in your shop and use the same one for every candidate. A wheel with a known wobble, a brake that needs a bleed, a bike with a mis-indexed rear derailleur. The scorecard notes say what they did, how long it took and what they missed. When you are choosing between two candidates in March, you compare notes instead of impressions.
Keep the phone screen short and practical: which systems they have worked on, whether they have done e-bike motor diagnostics, when they can start, and whether they are looking for full-time or seasonal work. Move them to the next stage the same day, so a good mechanic is not waiting a week to hear back.
A spring hiring plan
Working back from the week the bench fills up.
December: write the role
Create the job in ATS with the pay range, the hours and what the role covers. Leave it in Draft until the wording is right.
January: post and collect
ATS does not publish a careers page for you. Post the role where mechanics look, then add each applicant to the job from the CRM with the source they came from.
January to February: screen and test
Phone screen within a day or two, then a technical interview on the stand with a scorecard for each one.
February: offer
Record the offer with the pay and start date and track it through to accepted.
March: onboard
Invite the new mechanic to the workspace with the role that sets their Service permissions, and enroll them in your training course before the rush.

From hired to on the bench
The day someone accepts is when ATS hands over to the rest of the suite. Add the new mechanic to the erp.io workspace with the right role. Role-based permissions are live in Service today: the workspace role, from crew to lead, manager, admin and owner, sets what each person can do, so a new mechanic on the crew role can fill in a tune-up checklist and close their visits on day one without being able to change the template or reschedule the week.
Then give them your standards. Courses lets you build a training course on your tune-up procedure, your safety inspection and your e-bike rules, and assign it before the first shift. The checklist in Service makes sure the standard is followed on every bike. The course makes sure they understand why.
Scheduling them works in a simple form today. The Service week view lets you assign visits to the new mechanic by day, the Today page shows them their work, and they clock their time against each visit for a manager to approve at the end of the week. Bench-capacity limits per mechanic and hour-by-hour slots are not built yet.
FAQ
Questions shop owners ask
Can ATS post my job to job boards?+
No. ATS keeps the job record, the pipeline and the candidates, but it does not publish a careers page or post to job sites. Post the role yourself and add each applicant to the job, noting where they came from.
How do I test a mechanic before hiring?+
Schedule a technical interview in ATS and run a bench test, such as truing a wheel or bleeding a brake. Record what you saw on the scorecard, rated from strong yes to strong no, and use the same test for every candidate.
Where are candidate details stored?+
Candidates are people in the erp.io CRM, and ATS links each application to that person. Someone who applies twice, or who was already a customer, is one record.
Can I see which sources bring the best applicants?+
Yes. ATS reports break down active candidates by source and by stage, alongside totals for applications, interviews, hires and rejections.
What happens after a mechanic accepts an offer?+
You add them to the erp.io workspace with the role that sets their Service permissions, which is live today. Training can be assigned in Courses, and they can be given visits on the Service week schedule and clock their time from day one. Bench-capacity limits per mechanic are on the Service roadmap.
