erp.ioProjects for custom builds, shop events and the spring prep
Projects is the erp.io task and project module. It holds the work that is not a single repair: the custom gravel build waiting on a fork, the demo day in April, the list of things that must happen before the spring rush.
The work that is not a repair
A tune-up has a start and an end, and it fits on one ticket. A lot of what keeps a shop running does not. A custom build is thirty parts from four distributors, a frame that may or may not arrive in the size promised, and a rider who wants to approve the bar tape color. A demo day is a truck booking, a permit, a stack of rental waivers and a Saturday staffing plan. Getting ready for spring is a list of fifty small things that nobody owns.
That work usually lives in the owner's head, a notebook, or a whiteboard nobody photographs before it gets wiped. Projects gives it a home. Each piece of work is a task with an owner and a due date. Tasks sit in sections, sections sit in projects, and you can look at a project as a list, a board, a calendar or a timeline.
Projects is part of erp.io, the same workspace as Service and Chat. You do not need another login or another subscription outside the plan you already have.
What Projects does today
Everything below is live in the Projects module.
Four views of one project
List for the detail, board for the flow, calendar for dates, timeline for anything with a sequence, like a build that cannot be wheeled until the hubs arrive.
Sections and milestones
Break a build into Ordered, Waiting on parts, On the stand and Final check. Mark the day the rider picks up as a milestone.
Subtasks and dependencies
A task can have subtasks and can depend on another task, so the timeline shows what is holding up what.
Recurring tasks
Daily, weekly, every two weeks, monthly or quarterly. Clean and calibrate the torque wrenches, check the bleed kit stock, reorder shop consumables.
Owners, watchers and comments
Assign a task, add watchers who want updates, comment and attach files on the task itself.
Simple automations
When a task is completed, changes status or gets assigned, Projects can change its status, assign someone, add a label or move it to another section.
CSV import
Bring in an existing list with titles, descriptions, assignees, due dates, priority, status, labels and sections.
Posts into Chat
Link a project to a Chat channel and task updates appear there with a link back.
A custom build as a project
Take a custom build. Create a project named for the rider and the bike. Sections follow the build: Spec agreed, Parts ordered, Parts in, On the stand, Final check, Picked up. Each component is a task: frame, fork, wheels, groupset, cockpit, contact points. When the frame arrives, the task moves across the board. When the wheels depend on hubs that are backordered, the dependency shows on the timeline and you can see at a glance that the pickup date is at risk.
Comments on each task hold the conversation that matters to that part: the distributor's ETA, the photo of the head tube badge, the note that the rider changed their mind on crank length. Link the project to a channel in Chat and the bench sees each update without opening Projects.
If your shop does enough custom work that you need a versioned bill of materials, with sizing, compatibility rules and cost rollups, that is what PLM is for. Projects tracks who is doing what and when. PLM tracks what the bike is made of.
What goes where
A quick guide to which erp.io module holds which kind of shop work.
| Work | Where it lives | Status |
|---|---|---|
| A tune-up or repair on one bike | Service work order | Live |
| The tune-up or safety checklist for that bike | Service checklist | Live |
| A custom build with a pickup date | Projects | Live |
| The parts list for that build, with revisions | PLM | Live |
| Demo day, clinic night or a shop move | Projects | Live |
| Pre-season prep and recurring shop chores | Projects | Live |
| The conversation about any of it | Chat | Live |
Service work orders are live as numbered jobs with visits. A Service job cannot be linked to a Projects task yet.
Events and the spring prep
A shop event is a small project with a hard date. A demo day has a vendor to confirm, a location to book, bikes to prep and a rota for the day. Put it on a timeline with the event as a milestone and work backward. The calendar view shows the week everything lands at once, which is usually the week to start earlier.
Spring prep is the project most shops never write down. In January it feels like there is plenty of time. By March the bench is full and the stand that needed a new clamp still has the old one. Make a project in the quiet months with every task that has to be done before the rush: service the stands, restock cables and housing, book the extra mechanic's start date, update the labor rate sheet, deep-clean the wash area. Give each one an owner and a date. Make the yearly ones recur so next January the list writes itself.
None of this needs a work order, and none of it needs Service to be finished. It is the part of running a shop that Projects handles well today.

Projects holds builds, events and prep. Service holds the repair record: quotes, work orders, checklists and invoices, all live today.

FAQ
Questions shop owners ask
Can I track custom builds in Projects?+
Yes. Make a project per build with sections for each stage and a task per component, then use the board or timeline to see what is waiting on what. For a versioned bill of materials with sizing and compatibility rules, use PLM alongside it.
Should I use Projects for repairs?+
Not as the long-term answer. Repairs belong in Service work orders, which are live today. Projects is for work that spans days or weeks and many people, like builds, events and seasonal prep.
Can tasks repeat every season?+
Yes. A task can recur daily, weekly, every two weeks, monthly or quarterly, with an end date or a maximum number of occurrences, so recurring shop chores come back on their own.
Can I import my existing to-do list?+
Yes, from a CSV with columns for title, description, assignee email, due date, priority, status, labels, section and estimated minutes.
Can a checklist be attached to a Projects task?+
Not yet through Service. Service has built its side of the link that lets a Projects task show and complete a Service checklist, and the Projects side is still to do. Service checklists themselves are live today.
